Event Privacy Policy for the AIGWO and AIGWO Final Qualifying

What is the purpose of this document?

This Privacy Policy is an addendum to The R&A’s Participant Privacy Policy. It explains how The R&A may collect and use your personal information in connection with the AIG Women’s Open and/or AIG Women’s Open Final Qualifying in 2021 (the AIGWO), specifically in relation to COVID-19.

What personal information will we collect?

If you are applying to travel to the UK under the Elite Sport Exemption for the purpose of competing in the AIGWO, we may also collect your:

  • Name
  • Date of birth
  • Gender
  • NHS number (if applicable)
  • Home address
  • Quarantine address
  • Contact details
  • Passport number
  • COVID-19 vaccination status
  • Travel information

 

Unique code

You will be allocated a unique code when your accreditation is approved and/or your PCR or lateral flow test has been booked, which will be used to anonymise the testing process. Please keep this safe and accessible at all times.

How will we use this information?

Your personal information (including your unique code) will, in most cases, feed in to our accreditation system and link to your accreditation.

We will use this information to: (i) book your PCR and lateral flow tests; (ii) administer your accreditation; (iii) produce COVID-19 Fit to Fly certification (if required); and (iv) ensure that the AIGWO can be staged safely and in accordance with all relevant requirements.

In some cases – for example, if your PCR test result comes back positive – this may lead to your accreditation being de-activated and your immediate withdrawal from the AIGWO.

Our legal basis

Our legal basis for processing this information is that it is necessary for our relationship with you established by your entry to the AIGWO, to comply with our legal obligations (including in relation to health and safety) and to further the public health efforts to tackle COVID-19.

We will not be able to provide you with accreditation or testing if you do not provide us with the information requested, which means you may not be permitted to participate in the AIGWO or enter the host venue.

Who we share your information with

Your personal information may be passed to our accreditation technology supplier, our COVID-19 screening services provider and Public Health Scotland (as part of the Elite Sport Exemption).

In the event of a positive PCR or lateral flow test, your personal information may be shared with our appointed medical advisors at the AIGWO.

If you are a player or a caddie, we may also share your personal information (including test results) with the Tour or professional association that you are a member of. A positive test result may become public knowledge by virtue of your withdrawal from the AIGWO.

Data retention

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal or reporting requirements. We will monitor Government guidance in relation to COVID-19 in that regard.

Your rights

Data protection legislation in the EU and UK provides you with certain rights regarding the use of your personal data, including the right to object to the processing of your personal data and to lodge a complaint with the Information Commissioner’s Office if you have concerns about how we use your personal data. Changes to this privacy policy

We keep this privacy policy under regular review and may update it from time to time to reflect changes to the safety protocols applicable at the AIGWO.
